Office Manager / Executive Assistant
Reports to: Interim Managing Director
Status: Part-time, Hybrid
Position Overview:
The Office Manager / Executive Assistant plays a crucial role in ensuring the smooth operation of our organization. This position combines traditional office management responsibilities with executive support, facilitating effective communication and organization within our team. The ideal candidate will be highly organized, detail-oriented, and passionate about the performing arts.
Key Responsibilities:
Office Management/Record Keeping:
- Oversee day to day office operations, ensuring a professional, efficient and welcoming environment.
- Implement and maintain efficient office systems and procedures.
- Handle communication with vendors, service providers, and building management.
- Assist with event set-up and RSVPs.
- Assist in the development and management of budgets and tracking of expenses.
- Handle the tracking of office supplies, equipment, and facilities.
Executive Assistance:
- Provide administrative support to the Directors, including calendar management, meeting coordination, and travel arrangements.
- Prepare and organize materials for meetings, including agendas, presentations, and minutes.
- Handle confidential information with discretion and professionalism.
- Act as a liaison between the artistic team and internal/external stakeholders.
Communication and Coordination:
- Manage incoming communications, including phone calls, emails, and mail; respond or redirect as necessary.
- Manage, update, and maintain the Company Drive and organizational data, ensuring data integrity and security.
- Manage updates to the organization’s website.
- Create reports, queries, and data exports as required.
- Manage the Company’s newsletter in coordination with social media efforts.
- Assist in the planning and execution of fundraising events, education and community outreach initiatives.
Human Resources Support:
- Assist with onboarding new staff and volunteers.
- Maintain personnel files and track employee benefits and leave requests.
- Support staff communication and engagement initiatives.
Qualifications
- Four-year college degree or equivalent experience.
- Exceptional organizational skills and the ability to multitask.
- Proficiency in office software (e.g., Microsoft Office, Google Workspace) and CRM databases.
- Experience with social media posting and platforms.
- Interest in nonprofit work, community building, dance as well as a commitment to social justice.
- Open-minded with good listening skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
Schedule
- Part-time/Hourly: 12 to 15 hours per week
Hourly Rate
- $28/hr.
